Job Description
About the Position:This role will manage the Reception and ensure visitors are dealt with in a professional and timely manner projecting a good image of Hamad & Mohamed Al Futtaim.  In addition provide admin support to the Administration team.

 Greet visitors in a professional manner and guide them to the meeting rooms for pre-planned meetings.
 Assist the Team in preparing files and filing, photocopying, scanning, binding, data entry and any other admin related tasks when required.
 Assist in checking invoices for Departmental expenses and prepare reports as required.
 Monitor stocks of Stationery and Grocery items and prepare requisitions when stock levels are low.
 Ensure the Meeting Rooms and Reception area are presentable at all times.
 Manage the Meeting rooms and ensure they are not double-booked.
 Maintain an accurate tracking system for incoming and outgoing documents from the Department.
 Report all maintenance issues to the FM team and follow-up completion of the job.
 Provide support the Admin Department as and when required.
 Process and record Leave requests and submit for Exit Permit.  Ensure employees resume on time and prepare attendance reports as required.
 Manage the mobile connections/disconnections and bill verification.
 Process requests for printing business cards and other official documents

 Answer Phone and greet visitors in a professional manner.
 Assist in admin related tasks – filing, data entry, scanning, photocopying and preparing reports.
 Manage bookings of the meeting rooms.
 Monitor stock levels of Stationery and Grocery stocks and raise requisitions.
 Maintain accurate tracking system for incoming and outgoing documents.


About You:Minimum Qualifications and Knowledge:
 High School Diploma or relevant work experience
 Arabic speaker

Minimum Experience:
 3 years’ experience in a Receptionist/Admin role

Job-Specific Skills:
 Excellent MS Office skills
 Good command of Arabic and English
 Customer service oriented
 Knowledge of operating various office equipment
 Committed to hard work and continuous learning
